Malcolm Knott trading as Knott Digital, a sole trader based in Hamilton, New Zealand. We design, build, host, and maintain websites for New Zealand businesses.

What we collect
We collect personal information you give us directly and information your browser sends when you use our website.
Information you give us:
- Contact details (name, email, phone, business name) when you fill in a form, email us, or sign up as a client
- Intake information about your business (your goals, content, brand assets, existing site details)
- Billing details, handled by Stripe (we don't see or store your card number)
- Anything else you choose to send us by email or message
Information collected automatically:
- Basic technical data when you visit our site (IP address, browser type, pages visited, referrer)
- Analytics data if enabled, see section 09
How we use it
We use your information to:
- Respond to enquiries and provide quotes
- Provide and maintain your website service
- Send invoices and process payments
- Send service-related emails (billing, outages, terms changes)
- Improve our service and website
We do not sell your information. We do not use it for advertising.
Overseas storage
Most of the services listed above store data outside New Zealand (typically the United States, European Union, or Australia). By using our service, you understand that your information may be stored or processed overseas.
We only use providers that are subject to privacy laws or contractual protections comparable to the New Zealand Privacy Act 2020.
How long we keep it
- Enquiry and contact form submissions: up to 24 months, then deleted
- Client account and project files: for the duration of your subscription, plus 12 months after cancellation
- Billing records: 7 years, to meet New Zealand tax law requirements
- Email correspondence: up to 7 years
You can ask us to delete your information sooner, see section 07.
Your rights
Under the New Zealand Privacy Act 2020 you have the right to:
- Ask what personal information we hold about you
- Ask us to correct anything that's wrong
- Ask us to delete your information, subject to our legal record-keeping obligations (e.g. tax records)

Security
We protect your information with:
- HTTPS encryption on all our websites
- Strong, unique passwords and two-factor authentication on all admin accounts
- Reputable hosting providers with established security practices
- Limited access, only Malcolm has access to client data
No system is perfectly secure. If we ever experience a privacy breach that is likely to cause serious harm, we'll notify you and the Office of the Privacy Commissioner, as required by law.
Complaints
If you're unhappy with how we've handled your information, email us first at [email protected] and we'll try to sort it out.
If you're not satisfied with our response, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
Changes to this policy
We may update this policy from time to time. Material changes are notified by email to current clients at least 30 days before they take effect. The current version is always available on our website.
This policy is governed by the laws of New Zealand.
